Sales Administrator (Wilkowice, Poland)

Description and tasks

Role Purpose:

Reporting to the European Business Development Manager 

Supports Business Development, Technical Sales and Sales Account Management teams.

Purpose of the role is to process and support RFQ’s and customer queries from customer initial request through to quotation. Additionally the position holder will process orders and returns and coordinate activities with other business functions to ensure customer requirements are achieved.

Main duties and responsibilities:

Request handling:

  • Review of incoming inquiries for completeness, clarity and business interest relative to strategic targets and customers.
  • Decision on acceptance or rejection of inquiries.
  • Aligns with the purchase team to agree on supplier choices for RFQs.
  • Contacts customers to coordinate any queries that may arise from the supply base.
  • Track, record and document customer RFQ’s in the business system.
  • Quotation processing:
    • Evaluates supplier offers from the purchase team and shares with the appropriate sales team function.
    • Generate a customer quotation price via a pricing model and communicate to the sales team for sign-off.
    • Submits the  quotation to customer.
    • Communicates any customer feedback with the sales team and re-issues an updated quotation in necessary.
    • Records all quotations and customer feedback for reference and data analysis.
  •  Customer orders
    • Upon receipt of order, make a full contract review.
    • If there are discrepancies consult with customers, suppliers or affected departments within the company and update accordingly.
    • Places PPAP order with the supplier and confirm / record supplier receipt of PO.
    • Send order confirmation to customer.
    • Monitor delivery dates with the supplier and communicate any variances with customer.
    • Coordinate handover to series logistics.
  •  Observation and analysis of customer development:
    • Analysis of the cost/margin situation of existing series parts.
    • Coordinate any change of supplier or running change of part revision level.
    • Clarify demand fluctuations with the customer and communicate with affected business functions.
  •  Data support for the Sales team:
    • Maintenance, structuring and provision of sales-relevant data.
    • Creation, review and processing of evaluations and statistics.
    • Supports with forecast and budget data.
  • Knowledge of and adherence to related standards and ISO accreditations.
  • Knowledge of and adherence to the business Health and Safety Policy and procedures.
  • Knowledge of and adherence to business Environmental Policy.

Candidate Profile

  • 5 years working experience in a commercial business role.
  • Effective communication/ good communication skills
  • Advanced English and German level: fluent and correct in all relevant business situations, both in written and spoken.
  • Analytically competent.
  • Handling challenges in good way, focusing at the solution not on the problem.
  • Service oriented.

This is a full time, permanent opportunity working at our Wilkowice, Poland site

Competitive salary dependant on experience

Monday - Friday, 40 hours per week 

Standard holiday allowance plus recognised bank holidays
